These Terms and Conditions apply to all bookings for the hire of inflatable equipment, including but not limited to bouncy castles, inflatables, soft play, slides, games, rodeo bull and related party equipment ("Equipment") supplied by HARLEO'S PARTY HIRE ("we", "us", "our").
By making a booking with us, the customer ("you", "your", "Customer") agrees to be bound by these Terms and Conditions.
1. Bookings
1.1 A booking is only confirmed once we have received the required booking information and any applicable deposit or payment requested by us.
1.2 A booking confirmation will normally be provided by email, text message, online booking system or other written communication.
1.3 The person making the booking confirms that they are authorised to enter into the agreement and are responsible for ensuring that these Terms and Conditions are brought to the attention of all persons using the Equipment.
1.4 We reserve the right to refuse or cancel a booking where we reasonably believe that the Equipment may be unsuitable for the intended location, event or circumstances.
2. Prices and Payment
2.1 The total hire price will be confirmed at the time of booking.
2.2 A booking deposit of £20 or £50 (for larger bookings) may be required to secure the booking.
2.3 Any remaining balance must be paid in full on the day of hire before set up.
2.4 Where deposit/ payment is not received by the required date, we reserve the right to treat the booking as cancelled and make the Equipment available for other customers.
2.5 Additional charges apply for delivery outside our standard delivery area, difficult access, extended hire periods, waiting time, cleaning, damage or other services agreed with you.
2.6 Any additional charges will be communicated to you where reasonably practicable.
3. Delivery and Collection
3.1 We will endeavour to deliver and collect Equipment within the agreed time period. Delivery and collection times may be approximate rather than exact.
3.2 You must ensure that a responsible adult is present at the agreed delivery and collection address unless we have agreed otherwise in writing.
3.3 You are responsible for ensuring that there is suitable and safe access to the delivery location.
3.4 Access must be reasonably clear and free from obstacles, vehicles, animals and other hazards (including steps).
3.5 If our delivery team is unable to gain access to the agreed location, additional charges may apply and we may be unable to complete the hire.
3.6 If you provide incorrect access information, an incorrect address or fail to notify us of relevant access restrictions, you may be responsible for any resulting additional costs.
4. Requirements for the Hire Location
4.1 You are responsible for ensuring that the proposed location is suitable for the Equipment before the date of hire.
4.2 Unless specifically agreed otherwise, the Equipment should be placed on a suitable, reasonably level surface free from sharp objects, animal waste, glass, stones, branches and other hazards.
4.3 The Equipment must not be placed where it could come into contact with overhead electrical cables, trees, structures, heaters, naked flames or other hazards.
4.4 Adequate space must be available around the Equipment for safe installation, operation and access.
4.5 Where Equipment is to be installed indoors, you are responsible for providing accurate measurements of the available space, including the entrance/access dimensions, floor area and ceiling height, and for informing us of any relevant restrictions before the booking.
You must ensure that the Equipment booked will fit safely within the agreed installation area and that there is sufficient access for our delivery team and Equipment.
If our delivery team arrives and the Equipment cannot be safely installed because the space or access is insufficient, including where the measurements provided by you are incorrect or the required space has not been made available, the booking will still be treated as a completed hire and the full hire charge will remain payable. No refund will be due in these circumstances.
We reserve the right to refuse installation where, in our reasonable opinion, the available space, access or conditions are unsuitable or unsafe.
4.6 We reserve the right not to install Equipment if, in our reasonable opinion, the location is unsafe or unsuitable. Where possible, we will discuss alternatives with you.
5. Weather Conditions
5.1 Certain inflatable Equipment cannot safely be operated in adverse weather conditions, including winds (maximum wind speeds/gusts of 24mph) , thunderstorms, lightning or other conditions that may create a safety risk.
5.2 We reserve the right to cancel, postpone, remove or refuse to operate Equipment where weather conditions make its use unsafe.
5.3 Where possible, we will contact you before the event to discuss weather-related arrangements.
5.4 If the Equipment has already been installed and weather conditions subsequently become unsafe, you must stop its use immediately and follow our instructions.
5.5 Where a booking cannot proceed due to unsafe weather, any refund, credit or rearrangement will be dealt with in accordance with our cancellation/weather policy and applicable consumer law.
6. Safe Use of Equipment
6.1 The Equipment must only be used for its intended purpose and in accordance with any instructions provided by us.
6.2 A responsible adult aged 18 or over must supervise children using the Equipment at all times.
6.3 The supervisor must monitor the Equipment throughout its use and ensure that users behave safely.
6.4 Users must remove shoes, spectacles, jewellery and other items that could damage the Equipment or cause injury where instructed.
6.5 Food, drinks, chewing gum, silly string, confetti, face paints, pens, sharp objects and similar items must not be taken onto or used on the Equipment unless specifically permitted by us.
6.6 Smoking, vaping, candles, fireworks, BBQs, heaters, naked flames and other sources of heat or ignition must not be used near the Equipment.
6.7 Users must not climb, bounce off the side walls, sit on side walls or sit on or deliberately misuse any part of the Equipment except where specifically designed for that purpose.
6.8 Users must not overcrowd the Equipment or exceed the stated maximum capacity.
6.9 Where Equipment has separate areas for different age groups or sizes of users, these restrictions must be followed.
6.10 Persons who are unwell, injured, intoxicated or otherwise unable to safely use the Equipment must not use it.
6.11 The Equipment must not be moved, altered, deflated or modified by the Customer or any third party.
7. Electrical Supply
7.1 Where electrical power is required, you must provide a suitable and safe power supply unless otherwise agreed.
7.2 Electrical equipment must be protected from water and other hazards.
7.3 Extension cables must not be used unless approved by us.
7.4 You must notify us before the booking if there is no suitable electrical supply available.
8. Damage and Cleaning
8.1 You are responsible for taking reasonable care of the Equipment during the hire period.
8.2 You must notify us as soon as reasonably possible if the Equipment becomes damaged, deflated, unsafe or otherwise unsuitable for use.
8.3 You must not attempt to repair the Equipment yourself.
8.4 You may be charged for damage caused by misuse, negligence, deliberate damage, unauthorised movement, inappropriate substances or failure to follow our instructions.
8.5 Reasonable cleaning charges may apply where Equipment is returned excessively dirty or contaminated beyond normal expected use.
8.6 We will not charge you for ordinary wear and tear.
9. Cancellation by the Customer
9.1 If you wish to cancel your booking, you must notify us as soon as possible in writing.
9.2 Cancellation charges may apply depending on how much notice is provided.
9.3 Our cancellation policy is:
If you need to cancel your booking, the following cancellation charges will apply:
- More than 28 days before the hire date: Cancellation is free of charge and any payments made will be refunded, less any non-refundable booking fee or deposit clearly stated at the time of booking.
- 14–28 days before the hire date: 25% of the total booking price will be payable.
- 7–13 days before the hire date: 50% of the total booking price will be payable.
- Less than 7 days before the hire date, including cancellation on the day of hire: 100% of the total booking price will be payable.
Any cancellation must be made in writing by email, text message or through our booking system. The date and time that we receive your cancellation request will be used to determine the applicable cancellation charge.
Where a cancellation charge applies, any amount already paid will be deducted from the cancellation charge and you will be responsible for paying any remaining balance due.
9.4 Any cancellation charges will be subject to applicable consumer protection legislation.
9.5 Where you have a statutory right to cancel or receive a refund, nothing in these Terms and Conditions is intended to remove or restrict that right.
9.1 Change of Date
We understand that plans can sometimes change. Requests to change the date of a booking must be made in writing and are subject to availability.
- More than 14 days before the original hire date: You may change your booking date once free of charge, subject to availability.
- Within 14 days of the original hire date: A change of date may be permitted at our discretion and may be subject to a £25 administration fee, subject to availability.
- Within 7 days of the original hire date: Any request to change the date may be treated as a cancellation and new booking. The applicable cancellation charges in clause 9.3 will apply.
- On the day of hire: The booking cannot normally be moved or rescheduled and the full hire charge will remain payable.
Any new date must be within 12 months of the original hire date and is subject to availability.
Only one change of date is permitted per booking. Any subsequent request to change the date will be treated as a cancellation and a new booking.
If the new date has a higher hire price, the difference must be paid before the new booking is confirmed. If the new date has a lower hire price, any reduction will be at our discretion and may not be refundable.
Where we are unable to accommodate your requested new date, the original cancellation terms will apply.
All requests to change a booking must be made by email, text message or through our booking system. A change is not confirmed until we have provided written confirmation.
10. Cancellation by Us
10.1 We may cancel a booking where:
- the Equipment becomes unavailable due to unforeseen circumstances;
- the Equipment develops a fault that cannot reasonably be repaired or replaced;
- weather conditions make the hire unsafe;
- the delivery location is unsuitable or unsafe;
- you have provided materially incorrect information;
- payment has not been received as agreed; or
- we reasonably believe that the Equipment cannot be safely supplied.
10.2 Where we cancel a booking for reasons within our reasonable control, we will explain the circumstances and, where appropriate, offer an alternative Equipment option, alternative date or refund in accordance with applicable law.
10.3 Nothing in these Terms limits your statutory rights.
11. Equipment Substitution
11.1 We reserve the right to provide a comparable alternative item where the Equipment originally booked becomes unavailable due to circumstances beyond our reasonable control.
11.2 We will endeavour to provide an alternative of similar size, quality and value.
11.3 If a suitable alternative cannot reasonably be provided, we will discuss the available options with you.
12. Customer Responsibilities
You are responsible for:
- providing accurate booking information;
- providing safe and suitable access;
- ensuring the location is suitable;
- ensuring appropriate adult supervision;
- following all safety instructions;
- preventing misuse of the Equipment;
- informing us of hazards or changes to the booking location;
- ensuring the Equipment is not moved or tampered with; and
- notifying us promptly of any accident, damage or safety concern.
13. Accidents and Incidents
13.1 Any accident, injury, damage or other significant incident involving the Equipment must be reported to us as soon as reasonably possible.
13.2 Where appropriate, the Equipment must be taken out of use until we have assessed it.
13.3 You must follow any reasonable safety instructions provided by our staff.
14. Liability
14.1 We will provide the Equipment with reasonable care and skill and in accordance with applicable legal requirements.
14.2 Nothing in these Terms and Conditions excludes or limits liability that cannot legally be excluded or limited, including liability for death or personal injury caused by our negligence, fraud or fraudulent misrepresentation, or your statutory consumer rights.
14.3 Subject to clause 14.2, we are not responsible for loss, damage or injury arising from misuse of the Equipment, failure to follow safety instructions, inadequate supervision, unsuitable premises or circumstances outside our reasonable control.
14.4 You remain responsible for the safety and supervision of users during the hire period.
14.5 Nothing in these Terms is intended to give you fewer rights than you have under applicable UK law.
15. Children and Supervision
15.1 Inflatable Equipment is provided for use by children and/or adults only where the particular Equipment is designed and advertised for that purpose.
15.2 Children must be supervised by a responsible adult at all times.
15.3 Our staff may explain safe use of the Equipment, but responsibility for supervision during the hire period remains with the Customer unless a separate supervised-hire service has been expressly booked.
16. Parks, Public Areas and Venues
16.1 We do not install or operate our Equipment on public land, including parks, recreation grounds, beaches, playing fields or other publicly accessible areas, unless you have obtained the appropriate written permission from the relevant landowner, local authority or other responsible body. Written evidence of permission must be provided to us before the booking date. We reserve the right to refuse delivery or installation if the required written permission has not been provided. The Customer is responsible for obtaining all necessary permissions, licences or authorisations required for the use of the Equipment at the chosen location.
16.2 We do not sub-let, re-hire or allow our Equipment to be hired out by the Customer to any other person or business. The Equipment may only be used by the Customer and for the event/location specified on the booking.
16.3 The Customer must not move, relocate, lend, hire out, transfer or otherwise allow the Equipment to be used at another location without our prior written consent.
16.4 If Equipment is moved, transferred, sub-let or used at an unauthorised location without our written permission, the Customer remains fully responsible for the Equipment and any resulting loss, damage, cleaning, recovery or additional costs.
17. Force Majeure
17.1 We will not be liable for failure or delay in providing the Equipment where this is caused by circumstances beyond our reasonable control.
17.2 Such circumstances may include severe weather, flooding, fire, road closures, accidents, equipment failure, power failure, venue closure, government restrictions, industrial disputes, public emergencies or other unforeseeable events.
18. Photos and Marketing
18.1 We will not use identifiable photographs of customers, children or event attendees for marketing purposes without appropriate permission.
18.2 If you provide photographs or videos to us and expressly permit their use for marketing, you confirm that you have the necessary permission from the people appearing in them.
19. Data Protection
19.1 We will process personal information in accordance with applicable UK data protection legislation and our Privacy Policy.
19.2 Personal information may be used to process bookings, communicate with customers, provide services, process payments, maintain records and deal with enquiries or complaints.
20. Complaints
20.1 If you have a complaint, please contact us as soon as reasonably possible using the contact details provided above.
20.2 We will investigate complaints fairly and aim to resolve them promptly.
20.3 You should provide relevant booking information, photographs or other evidence where appropriate.
21. Changes to These Terms
21.1 We may update these Terms and Conditions from time to time.
21.2 The Terms applying to your booking will normally be those in force when your booking was made, unless a change is required by law or otherwise agreed with you.
22. Governing Law
22.1 These Terms and Conditions are governed by the laws of England and Wales.
22.2 Any disputes will be subject to the jurisdiction of the courts of England and Wales, subject to any applicable consumer rights.
23. Acceptance
By confirming a booking with Harleo's Party Hire, you confirm that:
- you have read and understood these Terms and Conditions;
- the information you have provided is accurate;
- you will ensure the Equipment is used safely;
- you will ensure appropriate adult supervision;
- you will comply with all instructions provided by us; and
- you accept these Terms and Conditions.
